A monthly reconciliation checklist for online sellers in Surat
A simple month-end routine for textile and fashion sellers on Meesho, Amazon, Flipkart and Myntra, so payout errors are caught while they can still be claimed.
Surat's textile, saree and ethnic-wear sellers often run several marketplace accounts at once, with high return rates and thin margins. A short, fixed routine every month catches most payout errors while they can still be claimed.
Week 1: collect and match
- Download every report. Settlement or payment reports, order reports and return reports from each seller panel, for the full previous month.
- Match payouts to the bank. Each settlement amount should match a bank credit. Note any settlement that has not arrived.
- Match orders to settlements. Every delivered order should appear in a settlement. List orders that are missing or underpaid.
Week 2: check the deductions
- Commission and fees, checked against each marketplace's current rate card for the category.
- Shipping charges, checked against the actual weight of the package, especially for high-volume SKUs.
- Returns and RTO: every returned product received back, or a credit received in its place.
Week 3: claim and record
- Raise claims for every short payment, wrong fee and missing return credit, within the marketplace's time limit.
- Record GST TCS and income-tax TDS deducted by each marketplace, and match them with the GST and income-tax portals.
- Update your books with net realisation by marketplace, so profit figures reflect what you were actually paid.
Every quarter
- Compare net realisation and return rates by marketplace and by SKU.
- Review SKUs that sell well but lose money after returns and fees.
- Follow up on claims still open from earlier months.
Done every month, this routine takes the guesswork out of marketplace payouts and leaves a clear record if a dispute or a tax query ever arises.
